We built DynastyOS so businesses can own their systems and their data. This policy says, in plain English, what we collect, why, who touches it, and what you can do about it.
Who we are and what this policy covers
DynastyOS is a product of Williams Legacy Group Inc., doing business as DynastyOS ("DynastyOS", "we", "us"). This policy explains what information we collect when you visit dynastyos.ai, request a quote, create an account, or run your business on the DynastyOS platform, and what we do with it.
This policy covers two kinds of people: our customers (the business owners and staff who subscribe to DynastyOS) and our customers' customers (the callers, texters, and website visitors whose information passes through a DynastyOS system that a business has deployed). Where the two differ, we say so.
Information we collect
We collect only what we need to sell, build, and run the service.
- Account and contact information: your name, business name, email, phone number, and billing address when you request a quote, register, or subscribe.
- Payment information: card details are collected and stored by our payment processor, not by us. We keep the last four digits, card brand, and transaction records.
- Business configuration: the services you offer, your hours, pricing, booking rules, and the instructions you give your AI front desk so it can represent your business accurately.
- Operational data: calls, text messages, chat transcripts, booking requests, form submissions, and CRM records that your DynastyOS system captures on your behalf. This is your data; we process it for you.
- Usage and device data: pages visited, features used, browser type, IP address, and approximate location, collected through server logs and standard analytics cookies.
- Support communications: anything you send us by email, chat, or phone when you ask for help.
How AI processing works
DynastyOS uses large language models and speech models to answer calls and messages, summarize conversations, draft follow-ups, and route requests. When a caller speaks to a DynastyOS front desk, the audio is transcribed, the transcript is sent to an AI model together with the business's configuration, and the model's response is spoken or written back. Transcripts and summaries are stored in the business's account so the owner can review them.
AI output can be wrong. Businesses remain responsible for reviewing bookings, quotes, and commitments their system makes, and for telling their customers that they may be interacting with an automated assistant where the law requires it. We do not use your business's conversations to train the underlying AI models. Our AI providers are contractually restricted from using the data we send them for their own training.
How we use information
- To provide, build, host, secure, and support your DynastyOS system.
- To bill you and manage your subscription.
- To communicate with you about your account, service changes, and security notices.
- To improve the product, measured in aggregate and without profiling individual end customers.
- To comply with law and enforce our Terms of Service.
We do not sell personal information, and we do not share it with third parties for their own marketing. We have not sold personal information in the preceding twelve months.
Subprocessors and sharing
We rely on a small number of service providers to run DynastyOS. They act on our instructions and are bound by contracts that limit what they can do with the data. Categories of providers we use:
- Cloud hosting and database providers that store the application and your data.
- AI model and speech providers that process transcripts and generate responses.
- Telephony and messaging carriers that connect calls and texts.
- A payment processor that handles cards and subscriptions.
- Email delivery providers for transactional email and notifications.
- Analytics and error-monitoring tools for site and application performance.
A current list of subprocessors by name is available on request at the contact address below. We may also disclose information if required by law, to protect the rights and safety of DynastyOS, our customers, or the public, or as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to the transferred data.
Your customers' information
When a business deploys DynastyOS, that business is the controller of the customer information its system collects, and DynastyOS is its processor. We use that information only to deliver the service to the business, and we return or delete it when the business asks or when the subscription ends. If you are a customer of a business that uses DynastyOS and want to access or delete your information, contact that business directly. We will assist them in responding.
Cookies and tracking
We use essential cookies to keep you signed in and to protect forms from abuse, and standard analytics cookies to understand how the site is used. We do not use cross-site advertising cookies on the DynastyOS site. Most browsers let you block or delete cookies; blocking essential cookies will prevent sign-in.
Security
We protect information with encryption in transit and at rest, role-based access controls, audit logging, and least-privilege access for staff. No system is perfectly secure. If we learn of a breach that affects your information, we will notify you without unreasonable delay and as required by law.
Retention
We keep account and billing records for as long as you have an account and for the period afterward required by tax and accounting rules. Operational data (call transcripts, messages, CRM records) is kept for as long as your subscription is active and for thirty days after it ends so you can export it, unless you ask us to delete it sooner or the law requires a longer hold.
Your choices and rights
You can access, correct, export, or delete your account information by signing in or by contacting us. California residents have the right to know what personal information we collect and how we use it, to request deletion, to correct inaccurate information, and to be free from discrimination for exercising those rights. We do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of on that front. To make a request, email us at the address below; we will verify your identity before acting on it.
Children
DynastyOS is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy as the product and the law change. We will post the new version here with a new date, and for material changes we will notify account holders by email before the change takes effect.
